Position Overview

NextHome Hub City is looking for a Marketing and Administrative Assistant to join our successful, fun, and energetic team. This individual will take the lead in managing marketing initiatives (Facebook, Instagram, TikTok), ensuring files are accurate and complete, and plan events to enhance team productivity and drive client success. They will work closely with the NHHC Broker, Office Manager, Agents, Clients, Title Companies, and more.

Job Qualifications

Education: High School Diploma required; a background in Marketing, Business, or a related field is strongly preferred.

Social Media Expertise: Proven experience in social media management and marketing across platforms such as Facebook, TikTok, Instagram, and others.

Administrative Proficiency: Skilled in data entry and handling administrative tasks efficiently.

Organizational Excellence: Strong organizational skills with a keen attention to detail.

Design Competency: Experience using Canva or similar design programs to create visually appealing and engaging content.

Professionalism: Ability to maintain a professional image when interacting with the public and colleagues.

Technical Skills: Proficient in Microsoft Office and Google Workspace, with the ability to navigate and adapt to various software programs efficiently.

Adaptability: Ability to thrive in a fast-paced environment, managing multiple tasks simultaneously.

Trustworthiness: Demonstrates high levels of integrity when handling confidential information.

Customer Service & Communication: Exceptional customer service skills, with the ability to communicate clearly and professionally with both clients and colleagues.

Tech-Savvy: Comfortable with technology and eager to learn new software and tools.

Job Duties

Administrative Support

Work closely with agents to ensure the accuracy and completeness of documents.

Review files for completeness prior to submission for final broker approval.

Maintain and ensure compliance with company policies for all files.

Collect earnest money and issue receipts accordingly.

Manage office workflow, including email, correspondence, and phone call direction.

Order office supplies and ensure the office, reception, and storage area remain organized and professional.

Provide coverage for the Office Manager as needed.

Assist the Broker with various tasks as required.

Marketing & Social Media

Develop and manage engaging social media content across multiple platforms.

Create and optimize Facebook advertising campaigns to drive engagement and conversions.

Produce and edit TikTok videos to enhance brand visibility and engagement.

Create marketing materials using Canva or other design tools to support brand initiatives.

Coordinate and execute email marketing campaigns and client outreach efforts.

Maintain brand consistency across all marketing channels.

Provide support for advertising and promotional campaigns.

Event Planning & Coordination

Plan, organize, and attend office and community events to enhance brand visibility and client relationships.

Coordinate logistics for open houses, networking events, and client appreciation gatherings.

Collaborate with vendors, sponsors, and community partners to ensure seamless event execution.

Monitor and assess event success and engagement, providing insights for future improvements.

Team & Meeting Coordination

Prepare agendas for weekly meetings and record detailed meeting minutes.

Assist in organizing team-building activities and initiatives to enhance company culture.
